Constitution of Kehrhahnministries PDF Print E-mail

1. Name of Organization

1. The organization will be known as “Kehrhahnministries” or it’s abbreviated form as KM

 

2. Logo & Slogan

2.1 All logo’s & slogans are the property of this organization and consist of following:

2.1.1 An earth globe, with a black cross in the forefront and a wave of water in Background.
2.1.2 The slogan “Christ the centre of the World is our trademark slogan, other relevant slogans, which serves as a deepening of our slogan.

 

3. Aims & Objectives

Kehrhahnministries aim is to make the word of God alive to the people by taking action as Christ took action when he was on this earth. We believe that we as His children is his hands and feet and by working with other organizations which provides services that improve the lives of the people, we hope to achieve our objectives.

Kehrhahnministries’ vision is based on the number 3 and the example given to us, is the establishment of Peter’s ministry in the book of Acts chapters (1:1-12:25). In reading the introduction to the Book of Acts this will become clear.

“The Book of Acts begins where the Gospels leave off, reporting on the actions of the Apostles and the work of the Holy Spirit. Beginning in Jerusalem, the church is established and grows rapidly, then faces intense persecution, which drives the believers out into the surrounding areas. Through this dispersion, Samaritans and Gentiles hear the Good News and believe.”

Kehrhahnministries structure is based on this model. We believe that God place us in a certain community, because it is in that particular community where we need to start our work, trusting that God will reward us with a greater mission field, which ultimately lead to the fact that we are expanding. This we do by expressing God’s love through the services we render, how small and insignificant it may seem. Through our acts of compassion, we hope that people will see God’s love and compassion and use it as their personal testimony of God’s compassion, which in turn ignites other people to do the same.

 

4. Executive Structure

4.1.1 The executive of Kehrhahnministries is known as the “ministry team” and all names and contact of executive is founded on our website.

The Structure is as follows:

  • The CEO and his Assistant
  • The International Representatives
  • The Local Representatives Members

4.1.2 The Executive of Kehrhahnministries will be responsible for the running of the collective aspects of Kehrhahnministries e.g. our website and other aspects where the need may arise.
4.1.3 In the case where the executive of Kehrhahnministries cannot agree on a matter, the matter will be decided via vote and a 2/3 majority.
4.1.4 The Executive of Kehrhahnministries is the only structure who is allowed to  change any aspects of our constitution and can only be adopted with a 2/3 majority vote in case of a disagreement.
4.1.5 International Representatives will be elected and appointed by the executive of Kehrhahnministries.
4.1.6 All constitutions from affiliated Kehrhahnministries organs shall written into law by the Executive of Kehrhahnministries.
4.1.7 A Kehrhahnministries affiliated site will be named “Kehrhahnministries - America” as determined by the executive of Kehrhahnministries.
4.1.8 The Executive of Kehrhahnministries must release resolutions that affects  its operations to all service providers and affiliated sites, within 7 days of  such a resolution and may not adopt it before a consecutive 21 days have passed and for responses from service providers and affiliated sites.
4.1.9 The Executive of Kehrhahnministries will only consist out of the CEO, his assistant and the International Representatives. Local representatives may be invited to attend a meeting in exceptional cases.
4.1.10 All Committees within Kehrhahnministries must have a clear plan of Action as well as motivation letter to be submitted to Executive before for approval and possible funding.
4.1.11 This executive structure must be applied within all Kehrhahnministries Affiliated organizations.

4.2.1 The job descriptions of office bearers will be as follows:

4.2.1.1 The CEO
4.2.1.1a Improving and developing relations with other NGO’s across national and international boundaries.
4.2.1.1b Execute decisions taken by the executive
4.2.1.1c Advises and train representatives, in policy and policy development by keeping them, informed when changes are being made.

4.2.1.2 The Assistant CEO

4.2.1.2a Responsible for the maintaining and upholding of the website
4.2.1.2b To take disciplinary steps against any member.
4.2.1.2c The Assistant CEO will inform members of executive board of any irregularities happening on our site, which will enable the CEO to make an informed decision should he/she deem it necessary.
4.2.1.2d The Assistant CEO reserves the right to remove any member, article or link which he/she deems as not in line with the aims & objectives of the organization, without any prior consent or explanation.
4.2.1.2e Acts as the link between Representatives and CEO, since the CEO might not always be available, due to traveling etc.
4.2.1.2f Create affiliated Kehrhahnministries websites.  

4.2.1.3 The National Representatives

4.2.1.3a National representatives are responsible for distribution of  our aims & objectives within their own countries.
4.2.1.3b Initiate own programs which fits within their own context in promoting Kehrhahnministries’ aims and objectives.
4.2.1.3c Section 4.2.1.2 f allows each international representative their own website under the banner of Kehrhahnministries.
4.2.1.3d National representative will be responsible for the development of it’s regional constitution and should be approved by its local representatives before it is send to the executive for recommendations and acceptance as well as the abiding to the constitutions. The constitutions of the regions & countries, must accepted within the framework of their countries law.
4.2.1.3e Compiling reports on progress for the Executive of Kehrhahnministries regarding work being done in respective country.
4.2.1.3f Enable blog’s and monitoring them on the affiliated Kehrhahnministries site.
4.2.1.3g Managing and advising the local Representatives where the need may arise.

4.2.1.4 The Local Representatives

4.2.1.4 a Local representatives, will be also known as town, city etc representative.
4.2.1.4b Informing the International representative about possible projects, which could be supported by Kehrhahnministries of that specific? country.
4.2.1.4c Opening and managing offices within their respective towns  and an office for the community.
4.2.1.4d Working & networking with local NGO’s, which is unique within their own town.
4.2.1.4e Managing and maintaining it’s Blog on the website of affiliated Kehrhahnministries site.

4.2.1.5 Members

4.2.1.5a Membership is free, to all who shares our vision and passion of this ministry.
4.2.1.5b Members will receive a monthly, newsletter and may be asked to help with outreach projects etc.
4.2.1.5c Members must be active Christians within their denominations or have a burning desire to help others.
4.2.1.5d Membership will be terminated, when usernames, contains bad language, inappropriate names which might be offensive to other users,   
4.2.1.5e Members should actively contribute on their relevant websites in discussions, planning: improvement of website etc.
4.2.1.5f Members are to report any irregularities which may occur on our website or through the conduct of our members.
4.2.1.5g All members to this organization needs to be registered and may not act on behalf of Kehrhahnministries without the knowledge of the local representative.

 

5. Publishing

5.1.1 Any member of Kehrhahnministries have the right to publish something on this site as long as it promotes the vision & objectives of Kehrhahnministries.
5.1.2 Kehrhahnministries reserves the right to remove any comment, link, member or any other things published on our site without explanation, apology.
5.1.3 It is the responsibility of the person who publishes the article to acknowledge all sources used in their articles and see that it is coherent with the laws concerning copy-write. Kehrhahnministries will not be held liable for this being breached.
5.1.4 All comments and articles within our forum section must be written with your name, since Kehrhahnministries adopted a policy “You Write, You owe.” Failing to comply with this section, will lead to immediate removal of that article.
5.1.5 The Executive of Kehrhahnministries will do everything in its power to ensure that the material on our sites is accurate and helpful

 

6. Partnering with other Ministries

6.1 Kehrhahnministries shall form partnerships with other ministries under the following Criteria:

6.1.1 Confessing Christ as their personal Savoir and Redeemer and acknowledging the different roles in the Trinity.
6.1.2 Having a program and clear plan of improving the lives of other people through your ministry.

6.2 Ministry who seeks partnership must be willing to advertise our site on their as we will be doing the same. This Gesture will imply that we are in harmony with one another’s visions and aims and objectives.

6.3 Ministry wanting a partnership must clearly define the role that they want this ministry to play.

6.4 The decision of entering within a partnership with any ministry solely rests upon the Executive of Kehrhahnministries, unless ministry is in one town only, then international representative can take a decision on that. The ministry will then only be linked with our affiliated site and not necessarily with the main website.

6.5 In a case where a partner ministry would change it’s ideology and theology, which is inconsistent with the information provided on the application, during anytime of this partnership, the partnership will be terminated with immediate affect.

6.6 Ministries will be monitored via regular visit from of the Executive at any given time to determine whether no breaching of any of these regulations are breached.

 

7. Portofolio Committees

7.1 Kehrhahnministries and all its affiliated ministries must have the following committee’s to take care of their affairs: Financial, Legal, Disciplinary and Mission, Employment and Training

7.2 Other Committees may also be constitute, which will be determined by the program of action for that particular leg of affiliation. Examples of such committees may be health, Education, Social etc.

7.3 Each committee operating under the banner of Kehrhahnministries other than the prescribed one’s must be approved by the Executive of Kehrhahnministries of that particular country first and then approved by that particular Executive.

7.4 Depending on the level of that committee, whether on Executive, International or Local, its representative shall serve on all committees as an ex-officio member only.

7.5 The committee must be led by an experienced and well trained professional within the field in which that committee operates.

7.6 The Structures in these committees shook take on the following form:

7.6.1a CEO & Assistant CEO
7.6.1b The Chairman of Portofolio Committee or His assistant.
7.6.1c The Secretary
7.6.1d The Treasurer
7.6.1e Five ordinary members without any portfolio’s

7.7 Eleven members constitute a quorum to from a committee.

7.8 Important decisions will taken through secret votes and a 2/3 majority, which is 80 % of the people present is needed to reach a conclusion.

7.9 The job description of the committees proposed which is a require by the Executive is as follows”

7.9.1 The Legal Committee
7.9.1a Investigate all the legal aspects required to register as an Non Profitable Organization in that country and give assistance where it may be required legally.
7.9.2b Assist the Disciplinary committee in disciplining its executive and even prosecute if they deem it necessary.
7.9.3c Being the watchdog over all the activities within the organization and can call anyone with the organization to account for any irregularities.

7.9.2 The Financial Committee

7.9.2a Will be responsible for all the cash flow within the organization.
7.9.2b Drawing up of budget allocations locally and Nationally, which must be divided up as follows: 40 % for administration and 60 % Mission & Projects? Allocations rates might differ from time to time as this committee sees fit.
7.9.2c Responsible to monitor and make changes of budget changes where it deem itself necessary to so.
7.9.2d Compiling of quarterly financial reports & Annual Auditors reports to Executive of that particular wing of Kehrhahnministries.
7.9.2e No financial support will be given to any other organization, the financial committee however will support any developments etc, erection of buildings, buying of material which is needed for the work to be done. The money of this money needs to be controlled and watched by this committee.
7.9.2f Development of any financial related documents, like terms & Conditions on which money to be provided.   
7.9.2g All fundraising events must be reported to the financial committee as well as expenditure which results from such an event.
7.9.2h Responsible for bursary allocations and no money shall be paid directly to the applicant but into the applicant account at the Institution of studies.

7.9.3 Mission Committee

7.9.3a Responsible for selecting which NPO will be supported and in which way it will be supported & liaison with other departments with the organization. 7.9.3b Members of the mission committee have to have acceptable knowledge of the projects and whether its goals and objectives collaborates with the actions and vision of Kehrhahnministries as set forth via our aims & objectives.
7.9.3c Provide correct information to regarding the services which is needed etc.need of staff, need or project funding or other forms in which the organization can help.

7.9.4 Training Committee

7.9.4a This committee will be responsible to develop & liaison with  training institutions on training programs applicable for the pecific field of work.
7.9.4b All applicants must do a one year working-experience within the field on their choice, before applying for funds for further studies.
7.9.4c Thorough assessment of applicants must be done prior to the committee making a commitment.
7.9.4d Training committee must be informed about the process of applicant throughout his or her studies.
7.9.4e In a case where applicant absconds all fees must be paid back with a certain time period. This must be discussed with applicant and continuous support should be granted until payments have been paid.
7.9.4f In a case where Kehrhahnministries dismiss a person for whatever reason, the applicant is entitled to appeal with the legal committee of Kehrhahnministries and if they find it was done in a dishonored way, the applicant shall not be liable to refund the organization.    
7.9.4g All contracts between this committee & individual’s needs to be approved and developed by the legal commission of Kehrhahnministries.
7.9.4h Although Kehrhahnministries cannot guarantee employment; executive will do everything in its power to find employment for the individual. During this period (internship& community year) the applicant will be a paid Kehrhahnministries employee.
7.9.4i Applicants once accepted and granted a bursary to study, the applicant is liable to repay the money when absconding. In the case where the applicant have finished his or her studies Section
7.9.4h will immediately start.

 

8. Social projects and Social Partners

8.1 Kehrhahnministries executive will do advertising for these organizations on our website once they have been scrutinized by the relevant bodies of Kehrhahnministries.

8.2 Kehrhahnministries has got no right to dictate service fees of any sort to these organizations which forms part of its social networks. However in a case where the need is of utmost importance, representatives may enter into discussions, which will enable service to be possible.

8.3 Kehrhahnministries may request a operative report, which excludes finances and any other information that could be harmful to the Organization. This law can changed depending on the need of that particular organization.

8.4 Once agreed upon the condition of the agreement, Kehrhahnministries will be expected to make use of their services once the need arises, or in an event where we are called to act.

 

9. Financial Sponsorship

9.1 All financial sponsorships must go along with the specific purpose for which the money is donated, for follow up purposes.
9.2A detailed report must be given to sponsor within 21 days on the use of the funds as specified by the individual sponsor or organization which received sponsorship from Kehrhahnministries.

9.3 All financial sponsorship need to be referred to financial committee who will overview all the processes along with legal committee or specified legal representative.

9.4 Should be legal committee or representative notice any illegal activities resulting from this sponsorship; money should be retrieved within 48 hours after illegal activity occurred and reported to the relevant authorities immediately.

 

10. Advertisements on Kehrhahnministries

10.1 No advertising will be allowed on Kehrhahnministries website. An regarding advertising can be made in exceptional

10.1.1 A project or projects of ministry partners or social outreach partners.
10.1.2 Service providers which are Kehrhahnministries accredited.
10.1.3 Organizations and businesses, who are promoting the principles objectives of Kehrhahnministries.
10.1.4 Receiving of all necessary documents and information regarding product, aims & objectives etc.

10.2 In agreement with the executive of Kehrhahnministries may an advertisement placed.

10.3 Advertisements may not be placed on our website for a period longer than month’s whereupon the effects on our website will be re-evaluated extension is

10.4 Notice must be given to the advertiser of re-evaluation of advertisement after month’s has lapsed.

10.5 Kehrhahnministries has the right to end an advertisement at anytime, once agreement was bridged or period of 3 month’s has ended without any refund. No correspondence will be entered into.

10.6 Concerning advertising in our newsletter, the same rules applies, since our newsletter is also guided by our constitution.

10.7 The size and placement of such advertisements will be determined by our webmaster and KM executive only, using the sole discretion.

10.8 These rules also applies to all Kehrhahnministries affiliated sites.

10.9 Fees are determined on the following scale by Kehrhahnministries executive:

10.9.1 Ministry Partners/Social partners R 150 p/m (R 450 for 3 month’s
10.9.2 Service Providers R250 p/m (R 750 for 3 month’s)
10.9.3 Organizations/Businesses R500 (R1500 for 3 month’s)

10.10 Advertisements will be placed upon receiving first payment and payments must be made on the last day of each month. Should advertisers fail to do so will result in immediate removal of advertisement on the first day of the new month.

10.11 No exceptions will be made to any member, service provider, social out reach partner or ministry partner.

 

11. Dispute regarding Kehrhahnministries Articles

11.1 All articles/information published on Kehrhahnministries website is the property of the organization, unless noted differently.

11.2
No publisher/writer therefore may be held responsible for any dispute, which may arise from its articles published.

11.3
Letter/notice should be given in writing to executive members, where upon Kehrhahnministries would deal with it internally.

11.4 Kehrhahnministries executive will refer notice of dispute to legal committee, who would look into the legal aspects surrounding the dispute.

11.5 The legal committee then will notify its findings to the executive upon which a decision will be made. The legal committee will also determine whether disciplinary action should be taken against the writer/publisher of the disputed article, should it have brought the name of Kehrhahnministries in disarray.

11.6 The findings of the dispute must be given to the complainant in writing within 21 days upon the receiving notice of dispute.

11.7 In regarding a dispute arising from an article written by the CEO, the notice of dispute should be directed to the deputy CEO who will then submit the notice of dispute to the relevant structures.

11.8
The article of dispute along with the notice of dispute should be handed over to the legal committee.

11.9 With the notice of dispute the following should accompany it:

11.9.1 Name of Complainant as well as name of the writer of article
11.9.2 Copy of article, which forms part of the dispute
11.9.3
Contact details of complainant

 

12. Election of new Office Bearers

12.1 Notice for election must be issued 2 month’s prior to election day.

12.2
Nominees must be part and registered as member of the executive Kehrhahnministries.

12.3
Outgoing office bearer may nominate his/her preferred candidate, except found guilty of any misconduct by the legal commission.

12.4 All candidates must notify executive in writing that they accept their nomination.

12.5 Ballot paper is open via the website for visitors and members to vote.

12.6 The outgoing office bearer has got the responsibility as an act of final duty to announce his/her predecessor.

12.7 The elected office bearer will have access to the whole website and will also be responsible with the web designer in checking information published for security and quality purposes.

12.8
The newly elected office bearer will resume his/her responsibility immediate on step down date of the outgoing office bearer.

12.9 The duties set out by the Kehrhahnministries Constitution will serve as a guideline for newly elected office bearers.

12.10 Should a new office bearer not be elected before the step down period, his/her deputy will resume the duties of the outgoing office bearer until a suitable office bearer has been elected.

12.11
The decision of the electorate is final and must be accepted by all candidates, executive structures or any other individuals involved.

12.12 All new office bearers should be supported by other office bearers in the fulfillment of their duties.

12.13 Should any misconduct occur a new election can be called depending on a report from the investigation team. Such office bearers will remain in his/her respective post, but will be suspended during the investigation period, only then can such a person be remove from office.


13. Employment at Kehrhahnministries' social partners

13.1 All applications should be directed to Kehrhahnministries national executive.

13.2 Kehrhahnministries executive and mission committee will held interviews with applicants where a joint decision will be taken what will be the best placement for deployment.

13.3 Being accepted by Kehrhahnministries does not guarantee employment at one of our social partners, due to the institution’s own requirements over which Kehrhahnministries has no control.

13.4 Negotiations for financial assistance will be discussed once employee is accepted by our social partner.

13.5
Social partners (Non Profitable Organizations) will submit a 6 month's report as well as employee for evaluation purposes.

13.6
Salaries in regards to Kehrhahnministries employees within other (Non Profitable Organizations) will depend on the salary the employee receives from these organizations.

13.7 Salary will also depend on funds availability within the national treasury of Kehrhahnministries.

13.8 Employees must be registered as a service provider by Kehrhahnministries.

13.9 Employees must be willing to assist Kehrhahnministries where it will be required in that specific area.

13.10 Kehrhahnministries may not required employees service during normal working hours.

13.11
Services which is rendered by employee must be specified to avoid a clash of interests for both parties acquiring the services of employee.


13.12
Continues communication must exist at all times between Kehrhahnministries executive and Non Profitable Organization via telephone discussions and planned visitations on a monthly basis.

13.13 These visitations may only be made by the local, national and international representatives, since they are registered and listed as ministry team on our international website.


14. Legit able to vote or constitute polls

14.1 Every member or visitor has the right to vote, except members of the executive of Kehrhahnministries or its affiliated members sites.

14.2 Additional polls may be made at any time by any executive or affiliated members on the basis that it has been approved by 2/3 of the executive members.

14.3 In a case where this did not happen, polls must be removed with immediate affect.

14.4 Since voting is a continuous process, clear reports needs to be kept, which ensures that voting can continue after the voting time has expired.

14.5 No polls may be held concerning doctrinal matters, since it undermines the objectives and aims of Kehrhahnministries in being an interdenominational organization. This includes opinion regarding specific Christian churches and institutions.

14.6 Kehrhahnministries polls or website may not reflect racism, discrimination against any other religious groups.

14.7 A poll will be replaced and filed when it reaches the average to or above average levels of visitations, however the executive may extend the time frame as they deemed necessary once these levels have been reached.

14.8 Poll responses as well as responses regarding any Kehrhahnministries report may be published at the executive discretion.

14.9 Results of polls must be released in the following month’s newsletter with a detailed report, giving background and feedback as well as the purpose of that poll. This report must be written by the CEO or it’s Deputy only, with a period of 21 days when anyone would like to respond.


15. International Visitation & Exchange program

15.1 Exchange & international visitation into any country is permissible under the following criteria:

15.1.1 Exchange visitation may only occur within partner ministries of Kehrhahnministries.
15.1.2 All exchange programs need to be confirmed before departure to allow enough preparation time for the visit.
15.1.3 All exchange programs is subjected to financial availability and the budget should be accepted by the financial committee of Kehrhahnministries. This visitation budget needs to be submitted to this committee by the mission committee at least two months prior to planned visitation.

15.2 All expenditures need to be carried by the inviting branch, which includes accommodation, transport and travel expenses during the staying period.

15.3 Kehrhahnministries can be approached in exceptional cases, when hosts suffer as a result of financial difficulties in that respective country, which is not in their control. The executive may then decide whether to finance the trip and whether they will take responsibility for the raising of the necessary funds.

15.4 Under no circumstances will money be paid for any projects or travelling in advance to any branch member or supported project, rather the allocated representative of the visiting branch will conduct all financial aspects while being on the visit abroad.

15.5 All individuals must be selected by a panel of the people allocated by the executive.

15.6 This panel consists of the following people:

15.6.1 Chief Executive Officer of KM or his/her deputy
15.6.2 Mission committee Chairperson or his/her deputy
15.6.3 Financial committee Chairperson or his/her deputy
15.6.4 Three additional members selected by CEO or Deputy.

15.7 All document requirements of the applicant must be met fully for interview consideration. Incomplete documentation will not be considered. The requirements may change from country to country depending on the executive of that particular branch. These requirements must be written out in full detail.

15.8 Successful applicant needs to be informed about the decision immediately after the interview, thus applications must be short listed.


16. Establishment of centers of Worship

16.1 Organized and registered Kehrhahnministries structures may established centers of worship within their own countries, and the following criterion however must be met:

16.1.1 Leaders should have a proper theological education and prove of education etc. diploma, degree in theology should be forwarded to their national  representative who is accredited with the main organization.
16.1.2 A proper business plan which also includes programs which will be running as well as continual assessment reports from trustees in the name of the worship center will have to be submitted to your national representative for consideration.
16.1.3 A constitution for the ministry needs to be drafted and submitted to your national legal committee of Kehrhahnministries in accordance with subsection 7.9.3c in regards to the legal committee to fulfill their constitutional mandate.

16.2 A limit of worship centers in a particular town will be enforce depending upon the size of the area in which it will operate in order to avoid conflict in interest projects and programs.

16.3 All centers of worship will have to comply with our accountability code and should be transparent in every area, since Kehrhahnministries executive adopted the  "accountable governance" code.

16.4 All centers must subject themselves to visitations at all times by members of the national executives or government institutions.

16.5 Kehrhahnministries executive reserves the right to distance or even close down any center of worship that doesn’t comply to section 16.3 of this constitution, as well as turning any application for accreditation down in accordance with section 16.1, subsections 16.1.1 and 2 of this constitution. This also includes centers of safety etc. Orphanages, Old Age Homes and other establishments who obtained accreditation from its national executives.

16.6 In an area where Kehrhahnministries ministry partners are operating, a center of worship is prohibited and our website should be consulted for such ministries in your local area, however an exception may be made after consultation the our ministry partner in that area to avoid a conflict of interest.

16.7 Annual meetings should be held and a report needs to be submitted to national executive.

16.8 All elections of office bearers must be in compliance of section 12 of this constitution and must be held every two years. The terms of office will be six years and a candidate is legible to stand for office for 2 terms.

16.9 These centers of worship/safety should be viewed as an halfway house for people who became disgruntled by their own churches and therefore members of such places needs to be encouraged to return to their perspective churches or a church were they feel at home and which caters for their individual needs
